1. Who controls your information
Kent Coastal Stays is the controller of information used to answer website enquiries and deliver its own management services. Where information is processed strictly on an owner’s instructions, the property-specific agreement will state the relevant roles. Kent Coastal Cleaning and approved suppliers may process limited information where needed to deliver an agreed service.
2. Information we collect
We may collect contact details; property address and characteristics; enquiry and communication records; service preferences; booking, guest and access information needed for management; payment and invoice records; photographs and condition reports; complaint records; and basic technical information provided by the website host.
3. Why we use it
- To respond to enquiries and provide property assessments.
- To take steps before entering a contract and to perform an agreed service.
- To coordinate guests, changeovers, access, maintenance and emergencies.
- To keep financial, safety and service records where legally required.
- To protect legitimate business, owner, guest and property interests.
- To send optional marketing only where consent or another lawful basis applies.
4. WhatsApp and platforms
The enquiry form creates a message on your device and opens WhatsApp. WhatsApp drafts are sent only when you press send; direct form submissions are delivered through our email provider. WhatsApp, booking platforms, payment providers and other external services operate under their own privacy terms.
5. Sharing and retention
We share information only where reasonably needed with owners, guests, cleaners, linen providers, approved trades, professional advisers, insurers, payment or technology suppliers, authorities, or emergency services. We keep enquiry data only as long as needed for follow-up and compliance, and contractual, financial, complaint and safety records for the applicable legal or insurance period.
6. Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection, and may withdraw consent. You may complain to the UK Information Commissioner’s Office. We may need to verify identity before acting on a request.
7. Security and international services
We use proportionate access controls and reputable service providers. No internet system can be guaranteed completely secure. Some providers may process data outside the UK using their own lawful transfer safeguards.
